Terms & Conditions

These Terms & Conditions apply to the use of the MindFlow Academy website and to registrations, bookings, and participation in programs, workshops, courses, and other learning experiences offered by Mind Flow (FZC), trading as MindFlow Academy (“MindFlow”).

By registering for, purchasing, or participating in a MindFlow program, you agree to these Terms & Conditions.

Program Registration and Payment

Registration is confirmed once the applicable program fee has been received, unless otherwise agreed in writing.

Program fees, dates, locations, delivery formats, and inclusions are those stated on the relevant program page, registration form, proposal, invoice, or other written communication issued by MindFlow.

Where payment is made through a third-party payment provider, the transaction may also be subject to that provider’s applicable payment terms.

Participant Cancellations

We understand that plans can change. Unless different cancellation terms have been agreed in writing for a particular program or corporate engagement, the following policy applies to open-enrolment programs:

15 or more calendar days before the program:
Participants may cancel their registration and receive a full refund of the program fee, less any non-refundable bank, payment-processing, or transaction charges where applicable.

7–14 calendar days before the program:
Program fees are non-refundable. However, the full amount paid may be transferred as credit toward another eligible MindFlow program taking place within six months of the original program date.

Less than 7 calendar days before the program:
Program fees are non-refundable and cannot be transferred as credit.

Cancellation requests must be submitted in writing to hello@mindflow.ae. The date MindFlow receives the written request will be used to determine the applicable cancellation period.

Participant Substitutions

If you are unable to attend, you may nominate another person to attend in your place at no additional charge, provided MindFlow is notified before the program begins.

For programs involving personalized assessments, certifications, pre-work, licenses, or other participant-specific materials, substitution may be subject to additional conditions or charges.

No-Shows

Participants who do not attend a program without providing prior notice will not be entitled to a refund, credit, or transfer.

Refund Processing

Approved refunds will be returned, where possible, through the original payment method.

Refunds made through third-party payment providers are subject to the provider’s processing capabilities, timelines, and applicable transaction rules.

Where a payment provider does not support partial refunds, MindFlow may use an alternative refund method where appropriate and legally permissible.

Original payment-processing, banking, currency-conversion, or other transaction charges that are not recoverable by MindFlow may be deducted from the refunded amount where permitted by applicable law.

Program Changes, Rescheduling and Cancellation by MindFlow

MindFlow reserves the right to make reasonable changes to program schedules, facilitators, venues, content, or delivery format where necessary.

If MindFlow reschedules a program, registered participants will be offered the opportunity to transfer their registration to the new date. Where the rescheduled date is not suitable, MindFlow may offer a program credit or refund.

If MindFlow cancels a program and does not offer a suitable alternative, participants will receive a full refund of program fees paid.

MindFlow will not be responsible for additional costs incurred by participants in connection with attendance, including travel, accommodation, transportation, or other personal expenses, except where required by applicable law.

Corporate and Custom Programs

Corporate, private, customized, and organization-sponsored programs may be subject to separate commercial terms, cancellation provisions, and payment schedules specified in the applicable proposal, quotation, statement of work, or agreement.

Where such separate terms have been agreed, those terms will take precedence over the general cancellation provisions above.

Participant Conduct

MindFlow is committed to providing a professional, respectful, and inclusive learning environment.

MindFlow reserves the right to remove a participant whose behavior is disruptive, inappropriate, unsafe, or significantly interferes with the learning experience of others. In such circumstances, program fees may not be refundable.

Intellectual Property

Unless otherwise stated, program materials, presentations, exercises, frameworks, recordings, website content, branding, and other learning materials provided by MindFlow are protected by intellectual property rights.

Materials are provided for the participant’s personal or internal professional use and may not be reproduced, distributed, published, sold, recorded, or used for commercial training purposes without prior written permission from MindFlow.

Third-party tools, assessments, methodologies, trademarks, and materials remain the property of their respective owners and may be subject to separate terms of use.

Photography and Recording

Participants may not record program sessions, whether by audio, video, screen recording, or other means, without prior permission from MindFlow.

Where MindFlow intends to photograph or record a program for marketing, educational, or other purposes, participants will be informed, and any required consent will be obtained.

Limitation of Liability

To the maximum extent permitted by applicable law, MindFlow shall not be liable for indirect, incidental, consequential, or other losses arising from participation in a program or use of this website.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

Changes to These Terms

MindFlow may update these Terms & Conditions from time to time. The terms applicable to a program registration will generally be those in effect at the time of registration, unless otherwise required by law or agreed in writing.
